How Imperial Group collects, uses and protects personal data, and the rights you have under the EU and UK GDPR and the UAE Personal Data Protection Law.
This notice explains how Imperial Group ("we", "us") handles personal data when you visit www.imperial-grp.com, contact us, book a call or become a client. We take confidentiality seriously: it is central to how we work.
Who we are
Imperial Group is a tax and business advisory firm based in Dubai, United Arab Emirates. We are the controller of the personal data described in this notice. You can contact us about privacy at support@imperial-grp.com.
The laws we follow
We handle personal data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and, where they apply to you, the EU General Data Protection Regulation (GDPR) and the UK GDPR.
What we collect
When you browse this website
- We do not use cookies, analytics tools, advertising trackers or social media pixels.
- Fonts and images are served from our own website, so your browser does not contact Google Fonts or similar services when you visit.
- Our hosting provider automatically records technical information such as your IP address, browser type, the pages requested and the time of the request. These server logs are used only to keep the website secure and working.
When you contact us or book a call
- Your name, email address, phone number, country and company.
- The content of your messages and anything you choose to tell us about your situation.
- If you book through Calendly, the booking details and your answers to the booking questions.
- If you write to us on WhatsApp, the information you send through that service.
The enquiry form on this website does not send data to our servers. It opens your own WhatsApp or email app with the message ready for you to send.
When you become a client
- Identity and due diligence information required by UAE law, such as passport and visa copies, proof of address, source of funds and source of wealth, and details of ownership.
- Financial, tax and business information needed to deliver the services you ask for.
Why we use your data, and our legal bases
- To reply to your enquiry and prepare a proposal. This is necessary to take steps at your request before entering into a contract.
- To deliver our services. This is necessary to perform our contract with you.
- To meet legal and regulatory obligations, including UAE anti-money laundering, know-your-customer and record-keeping rules.
- To contact businesses that may benefit from our services. We occasionally send short, relevant emails to business contact addresses published by companies. We do this on the basis of our legitimate interests, and every message offers an easy way to opt out. If you ask us to stop, we will.
- To keep this website secure. This is in our legitimate interests.
We do not sell personal data, and we do not use it for automated decision-making or profiling.
Who we share it with
We share personal data only where needed:
- Service providers that host our website, email and booking systems, acting on our instructions.
- Authorities and institutions involved in the services you ask for, such as free zone authorities, government departments, the Federal Tax Authority, banks and licensed audit firms, and any authority where the law requires it.
International transfers
We are based in the UAE, and some of our service providers process data in other countries. Where we transfer personal data of people in the EU or UK outside those regions, we rely on safeguards recognised under the GDPR or UK GDPR, such as standard contractual clauses, where they are required.
How long we keep it
- Enquiries that do not lead to an engagement: up to two years from our last contact.
- Client records: for as long as UAE law requires. For tax and anti-money laundering records this is generally between five and seven years after the end of the engagement or the relevant tax period.
- Server logs: for a short period, normally not more than a few months.
Your rights
Depending on the law that applies to you, you have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- ask us to delete your data, or to restrict how we use it;
- object to our use of your data, including for direct marketing;
- receive your data in a portable format;
- withdraw consent at any time where we rely on consent.
To use any of these rights, email support@imperial-grp.com. We will reply within one month. If you are in the EU or UK and are not satisfied with our response, you can complain to your local data protection authority, or in the UK to the Information Commissioner's Office.
Security
We protect personal data with appropriate technical and organisational measures, including encrypted connections to this website, access controls and confidentiality obligations for everyone who works on client matters. We sign non-disclosure agreements on request.
Children
Our services are for adults and businesses. We do not knowingly collect personal data from anyone under 18.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed.
